As the year begins to wind down so do our travels, over the last few weeks I’ve been traveling between Chicago and Minneapolis. And I have to say, it been a great few weeks, I’ve met new clients and made new friends through the states. I’d also like to take a moment and welcome Westport Properties of Minneapolis to the AtHomeNet family, and we are quite excited to begin working with them. Westport manages a robust portfolio of residential and commercial properties throughout the Greater Twin cities.

As our service was formed in the early years of internet adoption, it took us 10 years to reach one million homes. Travel is a key part of being a successful Account Manager, which is why we like to get out on the road as much as possible to meet with clients. I just returned from my most recent trip to New Orleans. I couldn’t have picked a better couple of days to be there with warm and sunny weather the entire trip, a welcome relief from the cool temperatures we had been experiencing back home in Atlanta.  On Monday, I met with Chandra (Owner) of Principal Properties, a management company interested in using AtHomeNet web services. We discussed the importance of maintaining a website for your management company, and the state of association management in Louisiana. I left the meeting with a new client and we’re already working on building a beautiful new website for Principal Properties. That evening, I enjoyed some of that famous bayou cooking with the team from Community Management based in Baton Rouge. They have been using AtHomeNet’s community website program for over a year now, and has found success providing websites to their communities as they come aboard.

On Tuesday, I met with GNO Property Management in New Orleans. Robert, the owner and manager of GNO has worked with our sites for several years, first with a company based near AtHomeNet headquarters in Atlanta. While meeting with him, I was able to introduce him to all of the great new features we’ve released recently and show how far we’ve come with our designs. By the end of the meeting GNO had decided to provide websites to all of their communities as part of their service, and we are excited to help them start the design process this week.

In November I will be visiting the windy city of Chicago for the Chicago Condo Expo—look for another update after I return!

Board Members are some of the busiest people we know. Many of them volunteer to assist with the management of their community while holding down full-time jobs. In their haste to do things as efficiently as possible, we’ve seen board members co-mingle their worlds and this can lead to problems.

A common example is a board member using their “work” email address to conduct board business. While it centralizes all of your email, it does “mix up your peas and carrots”. This can become a legal issue if your association-related emails become part of a lawsuit filed by one of the disgruntled residents.

Do you really want to have to go to your boss and say, “I’ve gotten the company involved in a third party lawsuit and you need to comply with this court order to produce all emails, etc.”  We’ve seen it happen and it costs the employee dearly, both monetarily and in goodwill from his employer.

The easiest solution is to have email addresses that are in conjunction with your web site (make sure they are POP3 accounts and not just forwarding accounts–if you’re not sure what kind of email account you need, please feel free to contact us at Support@AtHomeNet.com). You can set them up so you have boardpresident@mycommunityassociation.com, etc. This also benefits the community so that when board members change, the community doesn’t have to learn a new email address to communicate with community leaders and decision makers.   Another option, is to sign up for free email accounts through gmail or yahoo.

Many residents enjoy using the community message board on their web site – it’s a great resource for information as well as a useful tool for keeping up with current events in your community.  Residents can post questions, give their opinions, and discuss ideas on a variety of topics – and now, keeping up with their favorite topics is easier than ever before, thanks to the ability to subscribe or unsubscribe to a single thread or post, tailoring their experience on your website to meet their needs.

When a resident logs in to the web site and goes to the message board, they can find a topic they would like to get updates for, and choose “Click here to subscribe to this topic” at the bottom of the screen:

The resident will receive an email every time someone replies to the post they subscribed to. 

This is a great way for residents to stay current on their favorite message board topics, as well as for their own voice to be heard on subjects that matter to them most. It’s also a great way to interact with your fellow community members and to get to know your neighbors! So the next time you log in to your community site, be sure to check out the message board and subscribe to your favorite topics.
